Freelance Programme Coordinator – Madrid based (Remote)
Salary – 15 EUR per hour
Contract Length – 188 hours to be comprised as below:
- 19th – 18th July (Programme Dates) – working Monday to Friday, 40 hours per week (166 hours total)
- 12 hours to cover ad hoc tasks prior to the programme start date, such as online pre-departure workshops & venue checks prior to programme (to be discussed at interview)

We are seeking a highly skilled and motivated individual with excellent interpersonal abilities and organisation skills to coordinate Pagoda’s new Industry Experience Programme in Madrid, Spain – a four week programme in which a group of 25-30 UK university students will be based in Madrid, working in groups with local companies to complete an industry related project. We require this role to be based in Madrid to deliver an exceptional experience and outcomes for participants on the programme.The Role:
As a Programme Coordinator, your responsibilities will include:
Programme Delivery
- Oversee the delivery of our Industry Experience Programme in Madrid, ensuring a fantastic participant experience
- Coordinate and confirm all programme elements, undertaking activities such as airport collection, workshops, cultural activities, providing support to students etc.
- Weekly reporting to the Senior Programme Manager on participant progress and programme preparation; highlighting any unresolvable issues or roadblocks.
- Flexibility to respond to serious emergencies during programme delivery at less than 24 hours’ notice. Please note this could involve out of hours/weekend working, as required.
- Assist with the creation of marketing content from both participants and companies in line with strategy provided to Programmes Team by the Marketing Team.
- Work with our host companies to ensure that they are kept informed of events, progress on projects and are happy with the programme. Inform the Head of Company Relations of any host company issue within 24 hours.
Data Management
- Participant and Host Company data management and general administration tasks
- Ensure participant and host company data is updated on the CRM daily and used in line with GDPR.
Requirements:
Essential
- Fluent in Spanish and English, and have the right to work in Spain
- A university graduate or minimum of 2 years relevant experience
- Ability to independently problem solve and proactively seek resolutions known and unknown situations
- Demonstrable global mindset and interest in other cultures.
- Flexible and adaptable to changing circumstances
- Experience in customer service
- Excellent knowledge of Madrid
Desirable
- Experience in managing projects or events
- Experience in coordinating groups of people
- Experience of an overseas programme during your university studies
- Experience using CRM software such as Podio, and task management software such as ClickUp
