MY CHALLENGES – IMPRESSIVE

As a Receptionist you will be an integral part of the client team and provide a varied service.
You will also handle various enquiries on site and provide proactive, knowledgeable and engaging support. In doing so, you will be able to score points with the client with your creative solution finding while providing excellent experience for your site and its stakeholders.

Duties also include coordinating with the entire team to anticipate and meet needs before they arise, making it easier for individuals while bringing joy to the workplace.

A 5 Star Mindset

  • Independently and responsibly manage services at the site to ensure that all services are delivered to the required and expected standard (procurement management).
  • Oversee the delivery of a pleasant and superior service from arrival to departure of site users in coordination with the Services Manager to deliver an excellent experience for the site and its stakeholders
  • Greet visitors on arrival, following visitor protocols and processes through to visitor departure.
  • Assists with events and their preparations at the site.
  • Implements and monitors service standards to meet and exceed expectations and looks for opportunities to improve efficiency of service operations and expenditure.
  • Liaises with landlord on delivery of landlord services, site changes and updates and future projects in consultation with the Service Manager.
  • Support administration, tracking documentation of work orders and subcontractor coordination including review of service agreements (SLAs, QHST management).
  • Preparation of weekly, monthly and site-specific reports.

MY QUALIFICATIONS – WANTED

  • Experience in event management, project management, guest relations or facility management is an advantage
  • Ability to find opportunities and ideas with curiosity and creativity to achieve amazing results.
  • Good communication and interpersonal skills in German and English.
  • Strong organisational and coordination skills.
  • English and German language skills at B2 level or comparable.
  • Operational knowledge and mastery of Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) and other management and dashboard reporting systems.
  • Customer-oriented thinking and customer communication skills are an advantage.
  • Hands-on mentality.
  • Ability to motivate staff and project participants.
